Our Corporate Finance and Restructuring team in Singapore focus on our clients' strategic, operational, financial and capital needs by addressing the full spectrum of financial and transactional challenges faced by corporations, boards, private equity sponsors, creditor constituencies and other stakeholders.
What You'll Do:
As an Executive Assistant, you will provide secretarial and administrative support to the Corporate Finance & Restructuring team in Singapore. Duties include diary and travel management, correspondence, and other various ad hoc administration duties.
Calendar Management
- Accountable for calendar management for Senior Managing Directors
- Interact with both internal and external executives and assistants and coordinate a variety of complex executive meetings
- Proactively spot opportunities to add internal and external meetings; interviews, staff meetings, follow-ups
Travel Arrangement
- Coordinate travel arrangements including booking of flights, hotels and local transfer(s)
- Develop understanding of Senior Managing Directors scheduling and travel preferences
Timesheet and Expense Reporting
- Assist in managing timesheets for Senior Managing Directors
- Prepare and submit of expense reimbursements
- Prepare vendor invoice payments and billing
Daily administration
- Perform various ad hoc administration duties to the team from time to time
- Work with the logistic company for shipping arrangements
- Manage documents and project deliverables when requested
- Manage storage or disposal of confidential client information
- Assist in producing presentations as required
- Act as central point of contact for all assigned Senior Managing Directors administrative needs, liaise with other departments as necessary
- Liaise with the operational functions (Admin, Finance, HR, Marketing, IT etc) on internal processes and procedures
- Provide coverage for Executive Assistants when necessary
- Other ad-hoc duties may be required
Basic Qualifications
- Possess at least Diploma/Advanced/Higher/Graduate Diploma in Business Administration / Secretarial Cert or equivalent
- At least 5-6 years of experience in supporting multiple executives
- Experience in management consultancy or other professional services environment highly preferred
- Problem solver - able to work with other teams and staff members effectively to reach a viable solution and goal
- Excellent communicator and negotiator - able to deal effectively with people at all levels across a multicultural environment
- Ability to maintain and respect confidentiality
- Ability to manage a heavy work volume and meet deadlines in an extremely fast paced environment
- Ability to juggle several tasks at once, to prioritize and manage own time - Not a clock watcher or someone who is unwilling to step outside their job description
- Able to start work within short period of time
